Operating a Web Form share link
After you publish an Inkpacket Web Form, the work is the share link: copy /form/SLUG, keep the PIN off the same page, close the form when intake should stop, and treat each fill as one envelope toward the monthly cap.
Publishing a Web Form is the birth of a public slug. Operating it is what you do every week after that: copy the share link, decide who may open it, close it when intake should stop, and file the envelopes it creates. The filler never signs in. They open /form/SLUG, complete the fillable marks plus their name and email, and submit. Inkpacket creates a sent envelope. The slug is not the envelope. The fill is.
How to publish from a template is publish a Web Form from a template. When a slug is the right door because you lack the emails is Web Form intake when you lack emails. Desk help is Docs. This guide is the share link after it is live.
Copy the slug, not a desk URL
Open Web Forms, then the form, then share. The public path is /form/SLUG. Inkpacket generates the slug from the title — you do not pick it. Do not send a /desk/forms URL to a stranger. That page is the operator desk. The filler does not create an account. Signature and initials wait for the signing page after submit.
If Resend is missing, the fill still succeeds and the page can say the invite email was not sent, with the signing link below. Copy that URL the same way you would after a one-off send. The envelope already exists. Do not publish a second form because mail logged a skip.
Keep the PIN off the same page
You can set an optional access code, reminder days, and expiration when you publish. Every later fill inherits that window and that PIN. Envelopes already created keep the days they were born with. The PIN uses the same five-try, 15-minute lockout as an envelope access code. Share the code separately from the slug — a public page plus a PIN in the same paragraph is not a second factor. After five wrong guesses the form returns HTTP 429. That is a Web Form PIN lockout, not an API send cap.
Close the form when intake should stop
Disable the form when the cohort is closed, the role is filled, or the PDF is stale. The public page then says Form closed or that it is not accepting submissions. Existing envelopes stay on the desk. Closing does not void them. Re-enable if the same slug should take fills again. Publishing a second form to “pause” the first spends a published-form slot you may not have.
Free allows 1 published form. Starter allows 3, Growth 10, Agency 25. Hitting the published-form cap returns HTTP 402 and names the plan limit. Billing checkout is not open, so this workspace stays on Free — disable one form if you need the slot, or read published pricing. Starter grants extra published forms and more monthly envelopes than Free.
What a fill is not
- Not a multi-signer envelope. One submitter, one envelope. A countersign is a new send from the template.
- Not a bulk-send row. If you already have the list, map a CSV instead.
- Not a template. The layout was saved before you published.
- Not a seat. The filler does not join Team.
If you have the emails, start a bulk job — bulk send CSV column mapping. If the PDF is unique and you know the one recipient, upload once. Sequential or parallel routing belongs on an envelope you start with names in hand, not on the public slug.
After each fill
Treat the new envelope like any other sent envelope. Void it if the deal is off. Correct the recipient if the email they typed is wrong and nobody has signed. Resend the existing link if they never saw the mail. When to void, correct, or resend stays on that id. Reminders follow the days you set on the form. A reminder is not a second fill.
File the stamped PDF on that envelope when they finish. Drive archive, if on, exports the completed file — or reports Drive not configured without credentials. Do not treat the slug page as your archive. The envelope holds the object.
Caps and what is not open yet
Each fill is a sent envelope. Preview traffic is not. Free allows 5 packets a month. Free at 5 packets a month is the live cap this fill shares with desk send, bulk rows, and API send. Hitting it returns HTTP 402 ENVELOPE_LIMIT. Starter is 20 envelopes — more than Free — plus 3 published Web Forms. Seat counts are planning numbers; invite does not refuse when a workspace is full.
Billing is published, not charging. Checkout is not open. Text-message (SMS) is coming soon. Drive missing: Drive not configured. Stripe off: Payments not live. The share link does not wait on those keys. The FAQ and Web Forms on Features use Form closed in the same words.
Copy the slug. Share the PIN somewhere else. Close the form when intake is done. File each fill on its own envelope. Open a workspace on Free, publish one form from a template you already send, and operate that link for a week before you print it on a poster.
